Warehouse Overview

Warehouse Overview provides a complete view of all inventory in your warehouse. See every bin with detailed information including SKU, quantity, location, bin category, and more. Filter by account or location, customize visible columns, and perform bulk actions on multiple bins at once.

Navigate to Warehouse from the Inventory menu to view all warehouse inventory.

Accessing Warehouse Overview

1. Navigate to Warehouse

   Click Inventory from the warehouse menu, then select Warehouse. The page loads showing all warehouse inventory.

2. View Inventory Table

   Browse the table showing detailed bin information: Location, Lpn, Bin, Bin Category, Account, SKU, UPC, Description, Quantities, UOM, and more.

3. Apply Filters

   Use the filter dropdowns to filter by Account or Location, then click Apply filter.

4. Customize View

   Use the column selector to show or hide columns based on your needs.

Key Features

Filtering Inventory

Filter warehouse inventory using basic filters or advanced column filters:

Basic Filters:

1. Select Account

   Choose an account from the Account dropdown to filter by specific company.

2. Select Location

   Choose a location from the Location dropdown to filter by warehouse location.

3. Apply Filters

   Click Apply filter button to apply your selections.

4. Reset Filters

   Click Reset filter button to clear all filters and show all inventory.

Advanced Column Filters:

Each column has its own filter box below the column header. Use these filters to:

• Text filters - Type to search for specific values (Location, Lpn, Bin, SKU, UPC, Description, etc.)
• Range filters - Enter minimum and maximum values for quantity columns
• Select filters - Choose from dropdown options for Account, Bin Category, UOM

Filters work together - multiple filters narrow down results further.

Android Request:

Click Android Request button to generate a request for Android mobile app users. This creates a filtered view that can be accessed from mobile devices.

Customizing Column Visibility

Show or hide columns to customize your view:

1. Open Column Selector

   Click the Hide columns dropdown button (shows selected column count).

2. Toggle Columns

   Check or uncheck columns to show or hide them:

   • Location - Warehouse location
   • Lpn - License Plate Number
   • Bin - Bin identifier
   • Bin Category - Category classification
   • Account - Company name
   • Client Opt1 - Client option field
   • Picture - Product images
   • SKU - Product SKU
   • UPC/Barcode - Product barcode
   • Description - Product description
   • Qty in BIN (units) - Current quantity
   • Qty in processing (units) - Processing quantity (performance note shown)
   • Total Quantity (units) - Total quantity (performance note shown)
   • Counts - Count value
   • UOM - Unit of Measure
   • Qty (packs) - Pack quantity
   • Bin tag - Bin tag identifier
   • Bin Volume - Volume capacity
   • Weight/Dim - Weight and dimensions
   • Lot# - Lot number
   • Expir - Expiration date
   • BOE - Best Before End
   • Last Updated - Update timestamp

3. Save Preferences

   Column visibility preferences are saved automatically for your user account.

Performance Tip

For warehouses with high volumes of data, consider hiding “Qty in processing (units)” and “Total Quantity (units)” columns to improve page load times. These columns require additional calculations.

Bulk Actions on Bins

Select multiple bins and perform actions on them:

Selecting Bins:

1. Select Individual Bins

   Check the checkbox next to each bin row to select it.

2. Select All Bins

   Check the Select All checkbox in the table header to select all visible bins.

3. View Selection

   Selected bins are highlighted. The selection persists as you navigate pages.

Row-Level Actions:

Each bin row has a dropdown menu (three dots icon) with actions for that bin:

• Relocate Bin - Move the bin to a different location (requires recount permission)
• Recount - Start a recount for the bin (requires recount permission)
• Move - Move inventory (requires recount permission, only when bin has quantity)
• Convert Qty (packs) to units - Convert packs to units, removes UOM (only when UOM is set)
• Convert Packs to other UOM - Change to a different unit of measure (only when UOM is set)
• Print Labels - Print bin labels for this bin
• Print products description labels - Print product description labels

Available Bulk Actions:

Click the Actions dropdown button to access bulk actions:

Bin Actions:

• Kill Bin - Delete selected bins (permanent removal)
• Edit Volume - Change bin volume for selected bins
• Relocate Bin - Move selected bins to a different location
• Block Bin - Block selected bins (prevents picking)
• Unblock Bin - Unblock selected bins (restore to available)

Print Labels:

• Print 5 Bins in each 4x6 label - Print bin labels (5 bins per 4x6 label)
• Print warehouse Labels - Print warehouse location labels
• Print products description Labels - Print product description labels

Performing Bulk Actions:

1. Select Bins

   Check the boxes next to bins you want to act on.

2. Choose Action

   Click Actions dropdown and select the desired action.

3. Confirm Action

   Follow prompts to confirm the action (some actions require additional information).

4. Review Results

   System shows success message or any errors encountered.

Editing Bin Volume

Change the volume capacity of one or more bins:

1. Select Bins

   Check the boxes next to bins you want to edit.

2. Open Edit Volume

   Click Actions → Edit Volume.

3. Enter Volume

   In the modal, enter the new volume value (required field).

4. Save Changes

   Click Save to update volume for all selected bins.

Relocating Bins

Move bins to a different warehouse location:

1. Select Bins

   Check the boxes next to bins you want to relocate.

2. Open Relocate

   Click Actions → Relocate Bin.

3. Choose Destination

   In the modal, select the destination location from the dropdown.

4. Confirm Relocation

   Click Relocate to move bins.

Relocation Notes

• Any LPN data will be removed from the bin during relocation
• Only bins with Qty > 0 can be relocated
• Relocation updates bin history for tracking

Blocking and Unblocking Bins

Blocking Bins:

Block bins to prevent them from being picked:

1. Select Bins

   Check the boxes next to bins you want to block. You can select multiple bins to block them all at once.

2. Block Action

   Click Actions dropdown button, then select Block Bin.

3. Confirm Block

   System blocks selected bins and updates bin category to “Blocked”.

Unblocking Bins:

Restore blocked bins to available status so they can be used again:

1. Select Blocked Bins

   Check the boxes next to blocked bins you want to unblock. You can select multiple bins to unblock them all at once.

2. Unblock Action

   Click Actions dropdown button, then select Unblock Bin.

3. Confirm

   The system unblocks selected bins and restores them to their previous category from history.

Blocking Rules

• Bins with category “HURT” cannot be blocked - Only bins that are not already in HURT status can be blocked
• Blocking changes bin category to “BLOCKED”
• Unblocking restores bins to their previous category from history
• All blocking and unblocking actions are logged in bin history
• Blocked bins cannot be picked or used in warehouse operations
• Bin quantity is not affected by blocking; only the category changes

Printing Labels

Print various types of labels for selected bins:

Print Bin Labels:

1. Select Bins

   Check the boxes next to bins you want to print labels for.

2. Choose Label Type

   Click Actions → Select label type:

   • Print 5 Bins in each 4x6 label - Standard bin labels
   • Print warehouse Labels - Warehouse location labels
   • Print products description Labels - Product description labels

3. Generate Labels

   System generates labels and opens print preview.

4. Print

   Use browser print function to print labels.

Exporting Inventory Data

Export inventory data for reporting or analysis. CSV and EXCEL buttons appear in the DataTables toolbar above the table.

CSV Export:

1. Apply Filters (Optional)

   Set up any filters you want to include in the export.

2. Export CSV

   Click the CSV button in the toolbar above the table.

3. Open File

   Open the downloaded CSV file in Excel or another spreadsheet application.

Excel Export:

1. Apply Filters (Optional)

   Set up any filters you want to include in the export.

2. Export Excel

   Click the EXCEL button in the toolbar above the table.

3. Open File

   Open the downloaded Excel file with all formatted data.

Understanding Bin Categories

Bin categories classify bins by their status or purpose:

Common Categories:

• Available - Bins available for picking
• Blocked - Bins blocked from picking
• Hurt - Bins with damaged inventory
• Reserved - Bins reserved for specific purposes
• Other categories - As configured in your system

Bin category affects whether bins can be picked and what actions can be performed on them.

Understanding UOM (Unit of Measure)

If UOM feature is enabled, bins can track quantities in different units:

UOM Features:

• UOM Name - Unit of measure name (e.g., “Pack”, “Case”, “Pallet”)
• Unit Factor - Conversion factor between units and packs
• Qty (packs) - Quantity displayed in pack units
• Counts - Shown when UOM is not set

UOM Actions (available in the row dropdown when UOM is set):

• Convert Qty (packs) to units - Convert packs to units (removes UOM)
• Convert Packs to other UOM - Change UOM to a different unit

UOM Availability

UOM feature must be enabled in system settings. Contact administrator if UOM columns are not visible.

💡 Best Practices

Use Filters Effectively

Start with Account or Location filters to narrow down large inventories. Then use column filters for specific searches.

Customize Your View

Hide columns you don’t need to focus on important information. Save your preferences for faster access.

Monitor Processing Quantities

Keep “Qty in processing” visible to track reserved inventory. Hide it only if performance is slow.

Use Bulk Actions

Select multiple bins for bulk operations like blocking, relocating, or printing labels to save time.

Review Bin Categories

Monitor bin categories to ensure bins are properly classified. Block bins that need attention.

Troubleshooting

No Data in Table

Problem: Warehouse Overview table is empty or shows no bins.

Solutions:

1. Clear all filters - you may have filters excluding all bins
2. Check if inventory exists in warehouse
3. Verify bins have been created and contain products
4. Try resetting filters using Reset filter button
5. Check if you’re filtering by wrong account or location

Filters Not Working

Problem: Applied filters don’t show expected results.

Solutions:

1. Click Apply filter button after selecting Account or Location
2. Verify filter values are correct (check spelling, format)
3. Clear filters and reapply one at a time to identify the issue
4. Check if multiple filters are conflicting
5. Refresh the page and reapply filters

Bulk Actions Not Working

Problem: Bulk actions don’t execute or show errors.

Solutions:

1. Verify bins are selected (checkboxes checked)
2. Ensure you have permissions for the action
3. Check if action is valid for selected bins (e.g., can’t relocate empty bins)
4. Review error messages for specific issues
5. Try selecting fewer bins at once
6. Refresh page and try again

Columns Not Saving

Problem: Column visibility preferences don’t persist.

Solutions:

1. Wait a moment after changing columns - preferences save automatically
2. Refresh page to see if preferences loaded
3. Check browser console for errors
4. Try logging out and back in
5. Clear browser cache and try again

Export Not Working

Problem: CSV or EXCEL buttons don’t work or download fails.

Solutions:

1. Look for CSV and EXCEL buttons in the toolbar above the table
2. Wait for the table to fully load before clicking export
3. Check browser popup blockers (they may block the download)
4. Try applying filters to reduce data size if export times out
5. Contact administrator if export buttons do not appear

Performance Issues

Problem: Page loads slowly or times out.

Solutions:

1. Hide “Qty in processing” and “Total Quantity” columns
2. Apply filters to reduce data shown
3. Use Account or Location filters to narrow results
4. Reduce number of visible columns
5. Contact administrator if performance issues persist
